We are looking for a proactive and organised Administration Assistant to join our Commercial Property team in Cardiff.

Job Description
In this role you will be primarily assisting fee-earners with the daily management of their commercial property files.
The main responsibilities of the role include:
· File management including file opening, file closing and compliance with internal procedures.
· Conducting client onboarding and undertaking anti-money laundering (AML) checks
· Acting as a professional first point of contact for clients and third parties via telephone and email
· Maintaining accurate records, processing enquiries and ensuring information is communicated effectively to the relevant team members
· Supporting fee earners with billing processes, including preparing invoices and completion statements
· Coordinating completion payments and working closely with the Finance Team to ensure transactions are processed efficiently
· Managing electronic documents and correspondence through the firm’s case management system, ensuring records are accurate and up to date
· Managing diaries for fee earners and supporting the effective organisation of workloads
· Providing proactive administrative support to the Commercial Property team to ensure the smooth running of matters and delivery of excellent client service
Applicant Criteria
Required skills and experience:
· Experience in an administrative role, ideally within a law firm or other professional services environment.
· Ability to manage multiple tasks and prioritise competing deadlines effectively.
· Excellent written and verbal communication skills, with a professional and client-focused approach.
· Highly organised with excellent attention to detail and a commitment to producing accurate work.
· Strong IT skills, including proficiency in Microsoft Office applications and the ability to learn new systems quickly.
